Task guide

The people directory

Everyone who works at the firm in one register, and each person's page with their matters, time, leave, standing and figures.

The directory

People, in the sidebar, lists everyone who works at the firm with their staff number, the office they work from and their standing. Search by name or email, and narrow the list by role, standing, grade, employment, practising licence or office. It is also where people are invited and their access is managed; Settings has no separate list of users.

Invite a person from the directory, or from an office's People tab, where the invitation starts in that office. A firm with more than one office names the office on every invitation, so the person is set up for their office before they ever sign in.

A person's page

Open a person to see their page. The facts beside every tab say their staff number, the office they work from and any office they head, who they report to, when they started and, for a lawyer, how their practising licence stands. Every office and person named there opens its own page.

The tabs are the firm's own registers narrowed to the person:

  • Overview: their personal details, role and practice record.
  • Matters: every matter they answer for, brought in or work on, with each part they play, the matter's standing and its office.
  • Time, Tasks and Leave: what they recorded, the tasks they hold and the leave they asked for.
  • Practising and CPD and Training: their licence, their CPD hours for the year and the courses they must complete.
  • Rates: their standard charge-out rates, by currency and from which day. Cost rates come with a later release.
  • Performance: their time against target this week, month and financial year, and on the matters they answer for what was billed and collected, the realisation of their time, the work not yet billed and the debt by age. The person, whoever they report to and those who read performance see it.
  • Access: permissions given or taken beyond their roles, where they are signed in, every sign-in attempt and their sign-in methods.

Moving a person, or lending them for a while

Use Move to another office in the person's menu, with the day it takes effect and the reason. Their staff number stays the same, and the work they did before the move keeps the office it was done in. Every move is listed under Office moves beside their page.

To lend somebody to another office for a while instead, use Second to another office with the first and last day and the reason; they keep their own office, and the secondment is listed beside their page, where it can be ended early.
