The firm's email signature

One signature every person's email carries, filled with their own details, and when a person may send their own.

Open Settings, Profile, Branding, Signature. The firm keeps one signature, written once with tokens that each person's own details fill in, so every message from the firm carries the same signature with the right name in it.

Write the signature

Choose Edit signature. Write the signature in the editor and give a reason for the change. Put a token where its words belong:

  • {{person.name}}, {{person.title}}, {{person.grade}}, {{person.office}}, {{person.phone}} and {{person.email}} for the person sending;
  • {{firm.short_name}}, {{firm.address}}, {{firm.website}} and {{firm.regulated_lines}} (the registered numbers the letterhead prints) for the firm;
  • {{firm.logo}} or {{firm.mark}} to draw the firm's logo or its mark.

The preview under the editor fills the tokens with your own details as you type. A token the signature does not know is refused when you save, by name. The firm's lawyer should confirm the wording a Ghanaian firm's email must carry; the system does not write regulatory wording for you.

Every save is a version with its author and reason, under Versions, and in the brand's History.

People's own signatures

By default everyone sends the firm's signature. Turn on People's own signatures to let a person write their own. A person who may then chooses, on their own Profile, whether to Use the firm's signature (on unless they turn it off); their own signature is followed by the firm's name, address and registered numbers, which every message carries.

Writing a message, the signature it will carry is shown under it, and added when it is sent.
