Email templates and the firm signature

Keep versioned matter letters and the approved footer used in outgoing mailbox messages.

Create a template

Open Settings, Practice, Email templates. Search the register or filter by standing and last change. Choose New template and give it a name, subject and message. Leave practice areas empty to offer it on every matter, or search and select the areas where it applies.

Use the supported merge fields shown beside the editor: {{client_name}}, {{matter_number}}, {{matter_name}}, {{responsible_lawyer}} and {{firm}}. The selected matter supplies their values. Preview a saved template against a reachable matter before people use it.

Edit, inspect and retire

The template record has Overview, Versions, Usage and Your drafts tabs. Editing needs a reason and creates an audited version. Sent copies retain the version they used. Open a saved version to read its original definition and author.

Usage lists sent copies you may reach. Your drafts lists your own saved drafts using the template. Another person's drafts stay private, even if you manage templates.

To retire a template, give a reason and type RETIRE. A template still used by saved drafts cannot retire. The refusal links to drafts you may open and withholds ones you may not. Their authors must finish or discard those drafts first. Retired templates and their versions stay readable; create another template for future mail.

Open Settings, Firm, Email signature. Choose Edit signature, enter the firm's name, address and approved regulator statement, and give a reason. Saving creates a version whose author and reason remain in Versions.

The firm's lawyer must verify the required content of a Ghanaian law firm's email footer. LFMS does not invent regulatory wording. Sending stays blocked until a nonempty firm footer has been approved.

A person keeps their own signature in Me, Profile, Signature. Outgoing messages compose the person's signature above the firm block. Neither applying a template nor editing the message lets them remove the firm block.
