Task types, reminders and escalation

Keep the kinds of work the firm does with what each task of them starts with, and set the firm's default reminders and when overdue work is escalated.

Task types

Settings, Task types lists the kinds of work the firm does: Draft, Review, File, Attend court, Client call, Research, Correspondence and Administration to start with. Each sets what a task of that kind starts with:

  • an estimate, read against the time recorded on the task;
  • an activity code, used when time is recorded on it;
  • a checklist taken from one of the firm's task templates;
  • whether it is reviewed before it is done, and by whom;
  • its reminders.

The task form offers them in the order kept here; drag a row or use Move up and Move down. A kind of work with open tasks is retired rather than deleted, so it stops being offered while its tasks keep it.

Reminders and escalation

Settings, Notifications, Task reminders holds:

  • the daily task list each person is sent, and its hour;
  • the default task reminders a new task carries when neither its maker nor its kind of work sets any, on the due day in the app to start with;
  • after how many days an overdue task is escalated, two to start with, or 0 to turn it off;
  • whom it is escalated to: the holder's supervisor, or the matter's responsible lawyer.

Each change is recorded with who made it.

Templates and workflows

A task template can carry a due date counted from an anchor (the matter opening, the client's instruction, the workflow being laid out, or the deadline it serves), in working days or straight through, a completion target in hours, and whom the task goes to. A workflow's steps can count from the step before them and name a person. See Task templates and workflows.

Tasks a deadline makes

A deadline rule's Tasks it makes lists the work each deadline under the rule needs, such as drafting three working days before and filing on the day. Each is dated from the deadline and given by a rule read from the matter, or to a named person. A deadline makes its tasks once it is in force, and moving it moves its open tasks and tells their holders. See How the deadline rules count time.
