Statements, layouts and budgets

Draw the profit and loss and the balance sheet on a layout the firm edits, slice them by office, department, practice area or partner, and hold the books against an approved budget.

Every posting carries where it belongs

Each line posted to the ledger carries the office, department, practice area and partner it belongs to. A line about a matter takes them from the matter. A manual journal line with no matter names its office and department itself, under Office and Department on the line. The journal's page shows them beside each line.

The trial balance narrows to one office, department, practice area or partner from its filters.

Statements

Ledger > Statements draws the profit and loss for a period or the balance sheet as at a day, on the layout you choose. Choose a dimension to show a column for each office, department, practice area or partner beside the total.

Report layouts

Settings > Finance > Report layouts holds the layouts. The system ships a profit and loss and a balance sheet that follow the IFRS for SMEs statements; edit them or copy one into a new layout.

  • Lines: a heading over other lines, an account line that adds up the accounts placed on it, a total of chosen lines, or the profit or loss to date. Open a heading's lines from its menu. Put lines in order by dragging, or with Move up and Move down.
  • Accounts: which line each account reports on. On no line lists accounts the layout leaves out; place each from its menu. A new account lands on the line that takes its type until you move it.
  • Make default sets the layout the ledger draws first. Retire keeps it readable and stops offering it.

Budgets

Ledger > Budgets lists the firm's budgets by year, for the whole firm or one office or department.

  1. Choose New budget. Start blank, from last year's books raised by a percentage, or from another budget.
  2. On the budget, open an account to set its months. Spread evenly divides a year's figure over the months.
  3. Somebody other than the preparer approves it. An approved budget replaces the one it covers, and it no longer changes: Revise as a copy starts a draft from it.
  4. Against the books shows the year to date: the budget, the books and the variance, adverse variances in red.

Merging two accounts

On an account's page, Merge into another moves its balance into an account of the same type, fund and currency by a journal on the day you choose, matter by matter and client by client, and closes it. Nothing posted earlier moves. Protected accounts, a bank account's ledger account, client money and foreign-currency balances cannot be merged.
