Sending a questionnaire

Send a questionnaire from an enquiry or a matter, how the person opens it with a code, reminders, and sending it again or withdrawing it.

A questionnaire asks someone the firm already knows for details it needs: a client's particulars, identity and source of funds, the facts of a dispute. It is built like an intake form under Settings, Intake settings, Forms, with Questionnaire as its purpose, and published before it can be sent.

Send one

On an enquiry, open the Questionnaires tab. On a matter, open Correspondence, Questionnaires. Send a questionnaire asks:

  • which published questionnaire to send;
  • on a matter, which party on the matter it goes to (on an enquiry it goes to the enquirer);
  • the day to answer by, if any;
  • a note to go with it.

The person receives an email with a link. The link alone opens nothing: they ask for a six digit code, which goes to the same email address, and the questionnaire opens once they enter it. What the firm already holds about them opens filled in and marked as on file, for them to confirm or correct. Details the firm keeps sealed, such as a date of birth, are never shown back to them.

They can answer in more than one sitting. Reminders go before the answer-by day, and the link lapses after the firm's set number of days.

Where it stands

Each questionnaire reads as sent, opened, in progress, waiting for review, reviewed, withdrawn or expired.

  • Send again gives the person a fresh link and stops the old one. What they had already saved is kept.
  • Withdraw stops the link at once, with a reason.

When the person sends their answers, whoever sent the questionnaire is told, and the answers are filed on the record as a PDF with any documents uploaded. Nothing on the record changes until someone reviews them: see Reviewing answers.
