Add a party and keep the register clean

Add a person or an organisation once, see possible duplicates before saving, and merge two records that turn out to be the same.

Clients, opposing parties, witnesses, sureties and other firms all live in one register of parties, so a conflict check can see every one of them and a person is never typed twice.

Add a party

  1. Open Parties and choose New party.
  2. Choose a person or an organisation, and fill in the name. For a person, the system builds the name the register sorts by from the parts you give.
  3. Add contacts, addresses and identity numbers now or later.
  4. Before saving, the system shows any parties with a similar name or the same identity number. Open them to check. A possible duplicate is a warning, never a block.

Identity numbers

GhanaCard, passport and company registration numbers are stored encrypted. The register shows only that a number exists; revealing it is a separate action, and every reveal is recorded with who asked.

Relationships

Record how parties relate: a director of a company, a shareholder with a percentage, a spouse, a subsidiary. A conflict check follows these one step, so a claim against a company surfaces its directors.

Merge two records

When two records are the same party, a holder of the merge permission can merge them:

  1. Open Parties, then Possible duplicates, or open one of the two records.
  2. Choose Merge and pick the record that survives.
  3. Read the preview of everything that will move: matters, documents, checks and the rest.
  4. Confirm.
